Privacy Policy
Last updated 16 October 2026
StudioToStage helps families keep track of dancers’ classes, competitions, results and media. This policy explains what we collect, why, who can see it, where it’s stored, how long we keep it and the rights you have. It applies to the StudioToStage apps for iPhone and Android, the web app at thedancehub.pages.dev and this website.
Who we are
The team behind StudioToStage (“we”, “us”) is responsible for your personal information (the “controller” under the GDPR and similar laws). You can reach us using the details under Contact.
What we collect
Information you give us
- Account: your name, email address, password (stored only as a secure hash), country and theme choice.
- Families: the families you belong to, your role, and invite links you create.
- Dancers: first and last name, dance studio, date of birth and an optional profile photo. Dancers are often children (see Children and teenagers).
- Activities: classes (dance style, times, teacher, location, notes), competitions and dances (names, dates, venues, website links, sections, results, notes).
- Media: photos, videos, audio files and PDFs you upload, with their captions, file names, sizes and durations. Photos and videos are resized or compressed on your device before upload.
- Feedback: your message, the app version, device type and country, and your email address if you let us reply.
- Agreements: which version of this policy and the Terms and Conditions you accepted, and when.
From sign-in providers
If you sign in with Google or Apple, they send us your name and email address (with Apple, this can be a private relay address). We don’t receive your Google or Apple password or anything else from your account.
Collected automatically
- Technical information: when your device connects to our services, our providers receive its IP address, device or browser type, app version and the time. They keep it in short-term logs used for security, preventing abuse and fixing problems.
- On your device: the app keeps your sign-in in the device’s secure storage (browser storage on the web) and a copy of recently viewed information for up to 24 hours, so you can read it offline. Both are cleared when you sign out.
Device permissions
The app asks for the camera, the microphone (for sound in videos) and your photo library only when you choose to take or add a photo or video, and uses them only for that. You can turn these permissions off in your device settings. We never collect your location, contacts or other files.
How we use it, and why
| What we do | Legal basis (GDPR / UK GDPR) |
|---|---|
| Provide StudioToStage: your account, families, schedules, results and media, and showing them to your family | Performing our contract with you (the Terms) |
| Send account emails (confirm your email, reset your password) | Performing our contract with you |
| Keep the service secure, prevent abuse, fix problems and keep backups | Our legitimate interests in a safe, working service |
| Read and reply to your feedback | Our legitimate interests in improving StudioToStage; your consent to a reply |
| Record your acceptance of the Terms and this policy; meet legal duties | Legal obligations and our legitimate interests |
We don’t show ads, sell your information, or share it for targeted advertising. We don’t use analytics or tracking, don’t build profiles of you, don’t make automated decisions that affect you, and don’t use your content to train AI models. You need to give us your name and email address to have an account; everything else is up to you.
Children and teenagers
- Account holders must be at least 13, or older where local law requires it (for example, 16 in some European countries). Anyone under 18, or under the age of majority where they live, needs a parent or guardian’s permission and should use StudioToStage with them.
- StudioToStage is not directed at children under 13, and we don’t knowingly let them have an account. If we learn that someone under 13 has an account, we’ll delete it. A parent or guardian who thinks this has happened can contact us.
- Younger dancers’ details are added by their parents, guardians or other adults who look after them. By adding a child, you confirm you’re their parent or guardian or have their permission. Their details are visible only to the families they belong to, and we use them only to provide StudioToStage.
Who can see it, and who we share it with
Your family
Dancers belong to a family, and everyone in that family can see and edit its dancers and everything linked to them. Other members can also see your name. Nothing is public. People join only through an invite link from a family owner; each link works once and expires after 7 days.
Service providers
These companies process information for us, only to provide their service and under contracts that require them to protect it:
| Provider | What they do | Where |
|---|---|---|
| Supabase, Inc. | Database and sign-in: your account and everything you add, except media files | Sydney, Australia (company in the USA) |
| Cloudflare, Inc. | Media file storage (R2), database backups, serving the web app and this website, and forwarding email sent to us | Global network (company in the USA) |
| Resend, Inc. | Sending emails: sign-up confirmations, password resets and your feedback to us | USA |
| Google LLC | Our email inbox, where feedback and messages to us arrive; Google sign-in, if you use it | USA and global |
| Apple Inc. | Sign in with Apple, if you use it | USA and global |
| 650 Industries, Inc. (Expo) | Delivering app updates (receives your IP address, device type and app version) | USA |
| GitHub, Inc. | Running the weekly backup job (the backup passes through it, and isn’t stored there) | USA |
Apple and Google also distribute the apps through their stores under their own privacy policies.
Other cases
We disclose information only if the law requires it, to protect someone’s safety or our legal rights, or as part of a merger or transfer of StudioToStage (when we’ll tell you first, and this policy will continue to protect your information).
International transfers
Your information is stored in Australia, and our providers may process it in the USA and other countries, which may have different privacy laws from yours. Where the GDPR or UK GDPR applies, transfers are protected by safeguards such as the European Commission’s Standard Contractual Clauses (with the UK addendum) or the EU–US Data Privacy Framework. For Australian users: information may be disclosed to providers in the USA and the other locations listed above.
How long we keep it
- Your account and what you add: until you delete them, or delete your account.
- Deleted information is removed from our live systems straight away and from backups within about 60 days.
- Feedback: until you delete your account. Copies emailed to us are deleted when no longer needed, and within 2 years.
- Technical logs: kept by our providers for a short time, usually days or weeks.
- Your acceptance of the Terms and this policy: for as long as you have an account.
How we protect it
Information is encrypted in transit (HTTPS). Database rules let people see only their own families’ information, media files are private and opened only through short-lived links, and passwords are stored as secure hashes. No system is perfectly secure; if a breach puts your information at risk, we’ll tell you and the authorities as the law requires.
Your rights
Wherever you live, you can see, correct and delete your information in the app at any time, and ask us for:
- a copy of your information, in a portable format;
- corrections, or deletion of your information or your account;
- us to stop or limit using it, or to withdraw a consent you gave.
Europe and the UK: under the GDPR and UK GDPR you have the rights of access, rectification, erasure, restriction, portability and objection, and you can complain to your local data protection authority (for example, the ICO in the UK).
California and other US states: you have the right to know what personal information we collect, use and disclose; to delete and correct it; and not to be discriminated against for using your rights. We don’t sell or share personal information for targeted advertising, or use sensitive information beyond providing the service, so there’s nothing to opt out of. In the past 12 months we collected the categories listed under What we collect (identifiers, account details, age, photos, videos and audio, and technical information) from you, your devices and sign-in providers, for the purposes above, and disclosed them only to the service providers listed. You can use an authorised agent.
Australia: under the Privacy Act 1988 you can access and correct your information. If you’re unhappy with how we handle a complaint, you can contact the Office of the Australian Information Commissioner (OAIC).
Elsewhere (such as Canada, New Zealand or Brazil), you have the rights your local law gives you, and we’ll honour them.
To use a right, contact us. We’ll confirm it’s you (usually from your account’s email address) and reply within one month (45 days in California), or tell you if we need longer.
Deleting your account
Delete account in Settings deletes your account, your feedback and every family that only you belong to, with its dancers and files. Families shared with others stay with the other members, including what you added to them. See Delete your account for the steps, including how to ask without the app.
Cookies and similar technology
This website uses no cookies. The web app stores your sign-in and recently viewed information in your browser, which it needs to work. Neither uses tracking or advertising technology. We don’t respond to “Do Not Track” signals because we don’t track you.
Changes to this policy
If we change this policy, we’ll update the date at the top. For changes that matter, we’ll ask you to accept the new version in the app before you continue.
